How an Ahmedabad Taxi Company Replaced Notebooks and WhatsApp Messages with a Simple Trip Reporting System

Jai Hind Outright used to record every trip by hand in a notebook, based on phone calls and WhatsApp messages. We replaced the process with a simple form, a Google Sheet and automatic reports, including a daily PDF.

Jai Hind Outright

Jai Hind Outright, a taxi booking company in Ahmedabad, Gujarat, used to record every trip by hand in a notebook, based on phone calls and WhatsApp messages. That caused data errors and financial losses. Sutra Analytics replaced the process with a simple form, a Google Sheet and automatic reports, including a daily PDF delivered straight to the owner's phone.

The Client

Jai Hind Outright is a local taxi booking company in Ahmedabad. Individual taxi owners are assigned trips with pickup and drop locations, and the company keeps track of every completed trip.

The Problem

Trip tracking was fully manual and old-fashioned. Taxi owners reported their trips by phone call or WhatsApp message. The company had to keep a dedicated person to handle those calls and messages and write every detail into a plain notebook.

This caused:

  • Data inconsistency, because details were noted by hand.
  • Financial loss from missing or incorrect records.
  • A full-time person tied up just to take and record trip details.
  • No quick way to see totals or how many trips each driver completed.

What we built:

1. A trip submission form

  • After completing a trip, the taxi owner opens a form, selects their name from a dropdown and logs in if they are already registered.
  • They then enter the pickup and drop locations of the completed trip, add custom notes if they have a query or anything else to mention, and submit.

2. One central Google Sheet

  • Every submitted entry is added to a Google Sheet automatically.
  • All trips from all drivers are now in a single place, with no notebook entry needed.

3. Month-end reports

  • A month-end script uses the sheet data to generate the monthly report and key metrics, including how many trips each driver completed.

4. A daily PDF for the owner

  • Every day, the system generates a PDF from that day's data and sends it to the business owner.
  • It shows how many trips were completed, with full details, and can be read on a phone.

Benefits

Time saved: no more handling calls and WhatsApp messages and writing trip details in a notebook. (Estimated saving: [X hours per day, to be confirmed with the client]) | Accurate records: trip data goes straight from the driver into the sheet, which reduces errors and inconsistency. | Less financial loss: complete, consistent records mean fewer missed or wrong entries. | Daily visibility: the owner sees the day's trips without asking anyone. | Instant reporting: monthly metrics and per-driver trip counts are generated automatically. | Smoother operations: the team can focus on running the business instead of paperwork.

Key takeaways

  • Even a small, local business can move from paper to automated reporting with simple tools.
  • Letting people submit their own data at the source removes a whole layer of manual work.
  • Reports delivered automatically give owners clarity every day without extra effort.
