Baar Chalamish, CEO from Israel, runs many WooCommerce stores on his own with a very small team. Keeping track of orders across all of them was getting hard. Sutra Analytics built a centralized order sheet for each store that updates automatically, so he can see what is happening in every store at a glance, without hiring extra people.
The Client
Baar is an individual entrepreneur who runs many WooCommerce stores. They sell sports shoes, branded shoes, t-shirts, watches, other goods and reselling products. They include Runsupply.es, iconshoe.com, sneakersonline.co.il, timemasters.co.il, ProBasket.es and opticaly.co.il.
The Problem
Every store has its own WooCommerce admin and its own flow of orders. With many stores and a very small team, checking each dashboard to find new orders and see what is going on took a lot of time. Growing the business would normally mean hiring people just to keep up with order management.
What we built:
We created a centralized orders sheet for each store, with the orders organized month by month in separate tabs, such as Jan-2025, Feb-2025 and so on.
Key Features of the System
- Continuous import: new orders flow into the sheet automatically as they arrive.
- Monthly organization: each month has its own tab, so any period is easy to find and review.
- Relevant data only: we import only the fields he actually needs, not every field in the order, which keeps the sheet clean and fast to scan.
- Quick glance view: he can see at once whether new orders have arrived and what is happening in each store.
💡 Why it works: The project is small, but it saves a lot of time. Each store gets the same simple structure in a spreadsheet. Because the sheets hold only the important details, there is nothing to dig through.
Benefits
Time saved: no more logging into each store separately to check for new orders. (Estimated saving: [X hours per week, to be confirmed with the client]) | Lower costs: he avoids hiring extra people to manage orders. | Clear overview: every store's orders are organized in the same way, month by month. | Scalable setup: another store can be handled in the same way.
Key takeaways
- A small automation can save a lot of time when it targets a daily pain point.
- Importing only the relevant data keeps reporting simple.
- Consistent structure across stores makes a growing portfolio manageable for one person.
