How a Singapore Smart Home Company Replaced 8+ Disconnected Tools with One System

Luxus Digital was running on Xero, ServiceM8, Zoho, and spreadsheets. We connected them all into one system without replacing a single tool they already used.

Luxus Digital

Luxus Digital, a Singapore smart home company, was running its business across Xero, Sprintful, ServiceM8, Zoho, Monday.com, Google Sheets, Excel files and even handwritten notebooks. Orders were slow to process, data was unreliable, and growth meant hiring more people just to keep up. Here is how Sutra Analytics connected it all into one system without replacing a single tool they already used.

The Client

Luxus Digital sells smart home products such as digital door locks, gate locks, video doorbells, parcel collection boxes and automated laundry racks. A large network of salespeople across Singapore collects orders in the field, while the company handles shipping, installation, servicing and after-sales support. They were already a returning client, and they wanted to expand into other countries.

The Problem

  • Incomplete customer details, sometimes just a name or phone number.
  • No standard format for names, phone numbers or addresses.
  • Typing mistakes and duplicate records that got worse over time.
  • Installment payments, order statuses and sales commissions tracked manually.
  • Salespeople took orders in whatever was at hand (notebook, spreadsheet) and re-typed them into Xero.

Installation orders were especially complex. After delivery, the customer filled in a booking form, picked a date, got a technician through Sprintful, and a job was created in ServiceM8. Each step lived in a different platform. As orders grew, the company kept hiring to manage the manual work. That raised costs, cut profit, and led to customer complaints.

Several software agencies had already turned the project down as too complex. One accepted, but its solution failed shortly after because it did not understand the client's business processes.

Why it was hard

This was a data-orchestration problem, not a missing-feature problem. There were eight or more independent platforms with different data structures, no shared Order ID, and different APIs for booking, invoicing, job dispatch and forms. Commissions varied by salesperson tenure, different products followed different workflows, and the business had to keep running throughout.

💡 Our Approach: Connect, Don't Replace. Our lead, Kishan Panchal, and the team spent several days studying every department before writing any code. The key decision was to leave the client's tools in place and build one centralized system that connects them all.

We integrated one platform at a time, studying each platform's workflow and the related business logic first, so the result matched how the company really operates.

What We Built

  • A single Order ID shared across every platform.
  • Automatic synchronization and order status updates between all connected tools.
  • Data-correction algorithms that detect and fix inconsistent entries.
  • Automatic commission calculation using each salesperson's own rate.
  • A quotation generator.
  • Role-based access, so each department sees only what it needs.
  • A central dashboard showing key business metrics in one place.
  • Filtering, searching and sorting across all data.

Instead of switching the whole company over at once, we onboarded teams one by one: sales, technicians, procurement, office staff and other departments. This kept the transition smooth and reduced operational risk.

The Results

Team size reduced from 90 to 55 employees | Revenue, sales and profit up by approximately 45% | Operating costs down by around 38% | Capacity to handle nearly twice as many orders each month | Losses from incorrect entries almost eliminated.

The business is now scalable, and Luxus Digital is preparing to expand into multiple countries.

"Before Sutra Analytics, I couldn't tell you our real order numbers without pulling three different people into a room. Kishan and his team didn't just build us software — they understood our business better than some of our own staff did. That's rare." — Jayden Lim, CEO, Luxus Digital
